How do I bring my concern before the Board of Directors?

All Board Meetings are open to any home owner and the following policies were Board approved. These policies will be available with every Agenda and at the Board Meetings.

Agenda:

To keep owners informed they can request a copy of the agenda by contacting the property manager. Each Board Meeting is held on the 2nd Tuesday of each month at 7:00 PM at a designated location. The only change would occur if the Board could not establish a quorum, 3 out of 5 members.

Homeowner concerns are reserved for the first 15 minutes of the meeting.

1. Owners who wish to address the Board and be placed on the Agenda must provide any pertinent information to the Board in writing.

2. This information should be sent to the Management Office no later than the Wednesday before the Tuesday Meeting. This will allow time to place your issue on the Agenda and make a copy for each Board Member to study. Please be brief and concise. The concerns will be addressed on a first come first serve basis.

3. Written concerns will take priority over verbal concerns. Verbal concerns will be heard; however they will not be addressed until the next monthly meeting. To accurately address your concern it must be written. No decision will be made at the meeting on any verbal concern unless it is an emergency. Decisions will be made only when the Board has all of the information required to make an intelligent decision. This may require an inspection, competitive bids and/or consultation with specialists.

4. Owners may represent themselves or may select (1) person to represent them if they have the written authority to act for the owner. Owners who are in violation of the Covenants or delinquent in assessments may be asked to correct their violation or delinquency before addressing the Board. Owners may only address the Board after being given the floor by the President or Parliamentarian.

5. The first 15 minutes is set-aside for Homeowner Concerns. For example if (5) members come with verbal concerns each member will have (3) minutes to address the Board.

6. Owners are always welcome to remain at the meeting; however no further conversation or discussion will be accepted from the floor from owners.

Understanding the Process

The Board determines the process for creating new policy or reaching an agreement on any given issue only. Owners may give written opinions and management will have pencils/paper for your written input. This is not a vote, only Board members vote. If a Board member makes a motion there must be a second to the motion before this motion is discussed or a vote called for. If a second is not received the motion dies. A board member can only speak twice to a motion and then only after every Board Member that wants to speak has spoken for the 1st time.

Contractors and Maintenance

The Board will approve any and all contractors. Management requires that a certificate or proof of valid insurance be faxed directly from the contractor’s insurance agent to the Management office. This request will be denied. The Board will determine any tree replacement or removal of trees or trimmed will be determined by the Landscaping Committee and the consulting arborist.

Coming to any meeting without first understanding your rights as an owner and the responsibilities of the Association is doing disservice to yourself.
